# Meetings

> Send an AI coworker to Google Meet, Zoom, Microsoft Teams, or Webex calls to record and transcribe them, then have it follow up

An AI coworker can join your video calls as a notetaker. It records the meeting and its transcript, so you can ask it what was decided, or have it send a summary and action items when the call ends.

## What the notetaker does

* It joins the call under the coworker's name. Its video tile reads "AI Agent · Taking Notes".
* It records video and a transcript. The transcript streams into Vybe while the meeting is running.
* It doesn't speak or post in the meeting chat.
* It works with **Google Meet**, **Zoom**, **Microsoft Teams**, and **Webex**.

## Invite a coworker to a meeting

**Paste a link**

1. Open the coworker and go to **Meetings & transcripts**.
2. Paste the meeting link into "Paste meeting URL (Zoom, Meet, Teams...)".
3. Click **Invite**.

The notetaker joins the meeting shortly after.

**Ask in chat**

Send the link to the coworker in Slack or in its **Chats**:

> Join this call and take notes: [https://meet.google.com/abc-defg-hij](https://meet.google.com/abc-defg-hij)

You'll see **Joined meeting** in the conversation.

**Calendar invite**

Add the coworker's email address as a guest on your calendar event, like any other attendee. The coworker joins when the event starts.

* The coworker needs its own calendar for this. If its **Calendar** section shows **No calendar yet**, click **Set up calendar**.
* After you send the invite, check that the event appears in the coworker's **Calendar** and in the upcoming list under **Meetings & transcripts**.
* The meeting link must be in the event's location or description.
* All-day events are skipped.
* If the event is cancelled or deleted, the notetaker won't join.

> [!NOTE]
>
> Tell people in the call that it's being recorded. The notetaker is visible as a participant, but your organization's recording rules still apply.

## After the meeting

Ask the coworker about any meeting it recorded:

> Summarize yesterday's pipeline review and list the action items with owners.

> What did the customer say about pricing in this morning's call with Acme?

You'll see **Read meeting transcript** when it opens a transcript.

### Automatic follow-up

The coworker can act on every recorded meeting as soon as it ends. This is off by default.

1. Open the coworker's **Meetings & transcripts → Preferences**.
2. Under **Meeting follow-up**, turn on **Automatically follow up after recorded meetings**: "Choose what to do with recordings and transcripts when meetings end."
3. Pick a **Follow-up behavior**:
   * **Summarize and post to Slack**
   * **Email me action items**
   * **Save notes only**
   * **Custom instructions**, where you write your own in **Custom follow-up instructions**

Each follow-up is a coworker run and uses credits. Uploaded transcripts don't trigger a follow-up.

## Meetings & transcripts

Each coworker's **Meetings & transcripts** section has two tabs, **Meetings** and **Preferences**.

The **Meetings** tab lists upcoming and past meetings for that coworker, with a status such as Scheduled, Joining, In Call, Recording, Done, or Error. Use **Search meetings...** to find one.

Open a meeting to see:

* the recording, with **Download recording**
* the transcript, which you can search with **Search transcript...**. Click a line to jump to that moment in the video.

While a meeting is still running, you can remove the notetaker. Choose **Remove from call**: "The bot will leave the meeting immediately. Any recording in progress will be saved."

### Upload a transcript

For meetings the coworker didn't attend, you can paste in a transcript:

1. In **Meetings & transcripts**, click **Upload transcript**.
2. In **Upload meeting transcript**, enter a **Title** (up to 200 characters).
3. Paste the **Transcript** as text (up to 500,000 characters).
4. Click **Upload**.

The coworker can then use it like any recorded meeting. Only pasted text is supported, not audio or video files.

## The Meetings page

**Meetings** in the main sidebar shows "Meetings your AI coworkers joined or recorded, in one place." It covers every coworker you can access.

* When several coworkers joined the same meeting, it shows as one row.
* Meetings are grouped into **Upcoming**, **This week**, **Last week**, and earlier. Click **Load more meetings** for older ones.
* Search matches meeting titles, the names of people in the meeting, and coworker names. It doesn't search transcript text. Ask the coworker for that.

Guests can't open the Meetings page.

## The coworker's calendar

Each coworker can have its own calendar, in its **Calendar** section. "*name* keeps its own calendar, so it can track events, find open slots, and book or move meetings for you."

If the section shows **No calendar yet**, click **Set up calendar**. Then ask:

> Find a 30-minute slot with me next week and send an invite to [jamie@acme.com](mailto:jamie@acme.com).

> Accept the invite from Acme for Thursday and add the agenda to the event description.

The coworker can create, update, and delete events on its calendar, and respond to invites it receives. Calendar invites also tell it which meetings to join. See [Invite a coworker to a meeting](#invite-a-coworker-to-a-meeting).
