# Access and sharing

> Choose who can open and edit an app, restrict individual pages, and share pages with guests

Every app is private to your organization. For each app you choose who can open it and who can edit it. You can also lock individual pages to specific people, and give guests from outside your team access to an app or a single page.

## How people sign in to apps

Apps don't have their own login page. People sign in with their Vybe account:

* Visitors who aren't signed in are sent to the Vybe login page, then back to the app.
* Everyone who opens an app is a member of your organization: an Owner, Admin, Editor, Viewer or Guest. There's no public sign-up and no anonymous access. To give someone access, [invite them to your organization](https://docs.vybe.build/organization/members-and-roles.md) or share with them as a [guest](#guests).
* People can also open an app from an AI coworker's app card in Slack. The same access rules apply. See [Slack](https://docs.vybe.build/channels/slack.md).
* Apps open in the organization you're signed in to. If you have access to an app through another organization, you see "Wrong Organization" and a **Switch Organization** button.

Because the app knows who's signed in, the AI can build features for each person without a login screen:

> Show each person only the tasks assigned to them.

## Choose an access level

In the app editor, click **Access** next to **Publish**, then pick one of three levels:

| Level | Who can open the app | Who can edit it |
| - | - | - |
| **Anyone in the organization** (default) | Every member except guests | Owners, Admins and Editors |
| **Specific people** | You and the people you add | You and the people you add as **Editor** |
| **You only** | Only you | Only you |

These levels apply to everyone, including Owners and Admins. An Owner or Admin has to be added to a **Specific people** app like anyone else, and can't open a **You only** app.

Only the app's creator can change its access level, add or remove people, or change their roles. Other people who can edit the app can open the **Access** menu but can't change anything. When a coworker creates an app for you, you are its creator.

On the **Apps** page, each app card shows an icon for its access level. Viewers and Guests only see apps that have been published at least once. If you can't edit an app, clicking its card opens the published app in a new tab.

## Share with specific people

**1. Switch to Specific people**

Click **Access** and choose **Specific people**.

**2. Add a person**

Click **Add user**, search by name or email, and select the person. They get access right away.

**3. Set their role**

Choose **Viewer** or **Editor** next to their name. To remove someone, click the **X** next to their name.

| App role | What they can do |
| - | - |
| **Viewer** | Open and use the published app. |
| **Editor** | Also open the app editor, chat with the AI and publish. |

Rules for roles:

* **Defaults follow the organization role.** People who are Viewers or Guests in your organization start as app **Viewer**. Everyone else starts as **Editor**.
* **Organization Viewers can't be app Editors.** Vybe shows "*Name* is a Viewer at the organization level. Promote them to Editor in the settings first." Ask an Owner or Admin to change their role in [Members and roles](https://docs.vybe.build/organization/members-and-roles.md).
* **Guests are always Viewers.**
* **Viewers need a published app.** People with the Viewer role can open the app only after it has been published at least once.
* **You always have access.** As the creator, you appear in the list labelled **Owner**, and you can't be removed.

**You only** apps can't be shared. Switch to **Specific people** first.

## Restrict individual pages

You can lock pages inside an app to specific people, for example an `/admin` page that only team leads should open.

**1. Open the page list**

In the **Preview** tab, click the lock icon in the address bar, next to the page picker. **Restrict access to pages** lists your app's pages. Each one shows "No restrictions" or the number of people with access.

**2. Add people to a page**

Expand a page and click **Add user**. Add everyone who should be able to open it.

As soon as a page has at least one person on its list, only those people and the app's creator can open it. Everyone else is blocked, including Owners and Admins.

* **Exact paths only.** Restricting `/reports` doesn't restrict `/reports/2024`.
* **Pages with a variable part aren't listed.** You can't restrict a page like `/orders/[id]`.
* **Page rules add to the access level.** People still need access to the app itself first.
* **Only the creator** can add or remove people on a page.

> [!WARNING]
>
> Restricting a page doesn't restrict the API routes it loads its data from. If the data is sensitive, ask the AI to check who's signed in on those routes as well:
>
> > Only let the people who can open /admin call the /api/admin routes.

## Guests

Guest is the organization role for people outside your team. Guests only see apps that are explicitly shared with them. They don't see your other apps, even ones set to **Anyone in the organization**. You can invite a guest from [Members and roles](https://docs.vybe.build/organization/members-and-roles.md), or create one by [sharing a page externally](#share-a-page-externally).

You can give a guest access to a whole app or to single pages. Guests are always app Viewers.

| To share | How |
| - | - |
| A whole app set to **Anyone in the organization** | Open **Access**. When your organization has guests, a guest picker appears below the level. Add the guest there. The app's creator and organization Owners and Admins can add guests. |
| A whole app set to **Specific people** | Add the guest like anyone else. |
| Single pages | Add the guest to a page in **Restrict access to pages**. The guest can open only those pages. This also restricts each page for everyone else. |

> [!NOTE]
>
> Page-only access for guests works on apps set to **Anyone in the organization**. On a **Specific people** app, add the guest to the app itself.

## Share a page externally

You can send someone outside your organization a link to one page of an app. This feature must be turned on for your organization by Vybe. Contact [support@vybe.build](mailto:support@vybe.build) to enable it.

Once it's on, the app's creator sees a **Share externally** section when they expand a page in **Restrict access to pages**. The app must be published, and you can share only pages without a variable part in their path.

1. Enter the person's **Name** and **Email**.
2. Click **Send**. Vybe confirms with "Sharing link sent".

What happens next:

* The person becomes a **Guest** in your organization. Vybe creates a Vybe account for them if they don't have one.
* They get access to that page only. As with any page restriction, the page is now restricted for everyone else in your organization too. Add the people who still need it.
* They get an email, "*Your name* shared a page with you", with a **View Page** button. The link signs them in and opens the page. It expires after 7 days.
* If the link has expired, the page they land on offers **Send new link**. You can also click **Send** again to issue a new link.

## Who can do what

| Action | Who |
| - | - |
| Open the published app | Depends on the access level and page rules above |
| Open the editor, chat with the AI, publish | Owners, Admins and Editors who can edit the app |
| Change the access level, add or remove people, change roles | The app's creator |
| Restrict pages and share pages externally | The app's creator |
| Add guests to an **Anyone in the organization** app | The app's creator, Owners and Admins |
